Event Format: • Seated Banquet Style: Up to 90 guests (includes round banquet tables, bar stools, and antique furniture) • Cocktail / Standing: Up to 110 guests (this option will not require a set-up fee). • Renters may not affix decorations to the walls, ceilings, windows, or fixtures using nails, screws, push pins, staples, tape, or any other adhesive materials. • Freestanding decorations are permitted, provided they do not damage the premises or interfere with safety or fire codes. • Any decorations must be approved in advance by venue management. Unauthorized installation methods or damages resulting from décor will be the responsibility of the renter. • Renter is responsible for removing and disposing of any decorations brought in the venue and for leaving the venue in the condition it was found. Any damages shall be considered under terms in section 6A of this contract [Damage to Venue Property]. DJ or Amplified Sound • DJ’s shall be booked and paid separately. 2 – Rental Fees and Payment Terms • Deposit: A $300 deposit is required to secure the event date. This deposit will be applied to the final bill and is non-refundable if cancelled within 30 days of the event. This deposit ‘refund’ shall be subjected to any damages sustained by the Renter during the event. • Room Rental Fee: $800 for three hours o This fee covers use of the venue space o This fee does not cover food/catering, alcohol, set-up fees, or staffing fees • Additional Hour(s): $150/ hour • Set-up Fee (based on head count – include banquet tables, folding chairs, buffet set-up, plateware, flatware, and music access): o $200 up to and including 39 guests o $250 up to and including 59 guests o $300 for 60+ guests • Additional staffing (if requested) will be provided at the following rates: o $75 for each additional service aide o $100 for each additional bartender • Technology Set-up (Optional): o $50 – Includes microphone, projector / screen • Cash Discount: o To keep prices low, we offer a cash discount. Listed prices reflect a cash payment. All card purchases will include an additional 10% fee. • Final Payment(s) & Gratuity: o Due at event conclusion (we can process venue fees at the start of the event if you so choose). o Total(s) will be processed on one transaction (NO SPLIT CHECKS). Room use, set-up, staffing, and miscellaneous fees will be on one check. Any additional host alcohol tab will be rang separately and include a 20% gratuity. 3 – Food & Beverage Policy • Food Service: o Banks Ave – The Bottom does not have food service in the facility o Renter may hire any caterer o Any staffing needed for food service shall be booked with your caterer. If your caterer cannot provide staffing, we can add additional service aides at the rate of $25/hour. o Preferred catering list is available upon request • Alcohol Service: o Bar will be an ‘approach bar’ as all guests will be serviced from the bartop o Drink packages will be available during the booking process o 20% gratuity applied to alcohol sales 4 – Conduct Policy • Banks Ave – The Bottom is a safe, inclusive space. Discrimination, harassment, or hate speech of any kind – including racism, bigotry, homophobia, transphobia, ableism, sexism, or religious intolerance – will not be tolerated. • The Renter is responsible for ensuring that all guests, vendors, and participants uphold these values throughout the event. • Any behavior in violation of this policy may result in immediate termination of the event at the discretion of the venue staff / management, with no refund issued. • Banks Ave – The Bottom reserves the right to refuse service or cancel bookings that conflict with these standards of respect, safety, and inclusivity. 5 – Cancellation Policy • The $300 deposit is non-refundable if cancellation occurs within 30 days of the event. • Full deposit refunded if cancelled more than 30 days before the event. 6 – Indemnity and Liability • Venue is not liable for personal injury, loss, theft, or damage to property. • Renter assumes full responsibility for any damages to the venue or injuries occurring during the event. • Smoking Policy: o Smoking, including vaping and e-cigarettes, is strictly prohibited inside the venue. o Designated outdoor smoking areas may be used, if available. o Per NC law, smoking / vaping must be 50 feet away from any public used entrance. o Violation of this policy by the Renter or any guest will result in a $250 remediation fee, charged to the Renters card on file. o Repeated or willful violations will result in immediate termination of the event, and forfeiture of the deposit ($300), in addition to the $250 remediation fee. • Renter agrees to indemnify and hold harmless Banks Ave – The Bottom from any and all claims arising from the event. 6A – Damage to Venue Property • The renter is financially responsible for any damage to the venue, furnishings, equipment, fixtures, or premises beyond normal wear and tear. Any such damage will be documented by venue staff at the end of the event, before settling the final bill. • Banks Ave – The Bottom encourages renters to document (preferably with photo evidence) any damage before the start of the event and supply those images to the staff on duty. Failing to do so shall nullify any claims of previous damage. • The cost of repairs or replacements will be deducted from the Renters’ deposit ($300). If damages exceed the deposit amount, the Renter agrees to charge their form of payment on file for the additional damage. • Any work that exceeds the initial deposit amount in damages shall be performed by a licensed contractor with documented scope of work and an invoice of said repairs. 7 – Force Majeure • Neither party will be held liable for failure to perform obligations if such failure is due to events beyond reasonable control (e.g., natural disaster, governmental restriction, pandemic, or other force majeure events). • Evacuation: If the State or Local authorities order a mandatory evacuation (i.e. fire / flooding) of an area included in the Premises, Renter shall comply with the order. If this order happens before the start of the Renters’ event, the Renter will be entitled to a refund of the deposit ($300). If the order occurs after the start of the event, the Renter shall be entitled an extension of paid time, either the same day or on a future date. 8 – Governing Law • The Agreement shall be governed by and interpreted in accordance with the laws of the State of North Carolina. 9 – Entire Agreement • The Agreement contains the entire understanding of the parties and supersedes all prior verbal or written agreements. No modification or waiver will be valid unless in writing and signed by both parties.

Cancellation Policy

Standard 30-day

Guests may cancel their Booking until 30 days before the event start time and will receive a full refund (including all Fees) of their Booking Price. Guests may cancel their Booking between 30 days and seven days before the event start time and receive a 50% refund (excluding Fees) of their Booking Price. Cancellations submitted less than seven days before the Event start time are not refundable. Learn More
All Bookings are subject to Peerspace’s Grace Period policy which provides a full refund for Bookings cancelled within 24 hours from receipt of a Booking Confirmation but no later than 48 hours prior to the Event start time.
