RESERVATIONS The booking begins and ends at the exact time that has been reserved. Set-up and clean-up time must take place within the reservation time. If there isn’t a booking after your time and you wish to extend your booking, payment must be sent on the spot If there is another booking after you, you MUST vacate 5 minutes before the end of your booking, there will be no exceptions to this policy. Cancellations are accepted within 72 hours before the reservation with full studio credit. If the reservation is cancelled with less than 72 notice, there will be no credit or refund issued. Archive Studios reserves the right to cancel or reschedule if extenuating circumstances occur. The person who booked the studio must be present and show ID when checking in with reception, and remain present throughout the session. STUDIO USE Personal belongings cannot be left in the foyer or change room area. If personal belongings are dropped in these areas, the attendant will ask you to store your personal belongings in the studio you have secured. The makeup station area is NOT a communal area, this is an additional fee of $20/hr. You may only utilize only the studio you have booked for photos. If you enter another studio you have not booked without permission and take photos in the space, you will be asked to vacate the space immediately. Photos in the foyer are not permitted unless the full studio has been bought out. The Studio must be cleaned and vacated by the end of the rental period. The onsite furniture must be arranged to the approximate previous positions. Alcohol consumption is not permitted for photo shoots. Furniture cannot be exchanged or moved from one studio to another. Furniture cannot be pulled or dragged. The renter agrees to pay for any repairs or replacements necessary. If the studio requires additional cleaning after Renter’s session, or there are any hard-to-clean material (e.g. glitter, oils, spills, confetti, make up, etc) left anywhere in the studio after Renter’s session, Renter will be charged a $300 cleaning fee. Renter is to vacate the space 5 minutes prior to the ending time of the booking. We need 5 minutes to tidy the space and prepare the equipment for the next client. We will provide a gentle reminder 10 minutes before your rental ends. Food and beverages are permitted in the studio but all garbage must be removed. Food or beverages cannot be consumed while seated on the onsite furniture. If food or liquid is spilled on the onsite furniture, the renter will be responsible for the cost of cleaning the upholstery or possible furniture replacement. Remember to bring all items with you at the end of your session, were not responsible for lost or stolen items. Alcoholic beverages or drugs are NOT permitted in the studio. Nothing can be hung on the pipes or ceiling lights. Please be careful around the mirrors as they are not secured to the walls and ensure children do not touch mirrors. The studios are not soundproof, therefore we please ask to keep the noise level to a reasonable volume. Soft music is allowed if kept at a low volume. No glitter or confetti - absolutely no smoke bombs due to safety and fire code, any fines for such offences will be the responsibility of the renter. No smoking in the studio or building is permitted. If the client or anyone in the client's party is found smoking, the shoot will be immediately terminated and the client will be asked to leave and you will be charged a $500 cleaning fee. No Filming or Photography can take place outside of the studio. That includes hallways, staircases or anywhere else in the building. Children must be monitored at all times. No pets are allowed in the studio (unless a service dog) There are makeup and changing stations provided within the studio for an additional rental fee, the washrooms are a shared facility with the office building, please be considerate and respectful and don’t crowd the washrooms or use them as an additional area to get ready. There is a common front area where change rooms and the makeup stations are located. Please do not enter the kitchen or staff area. LIABILITY The Renter agrees that the Studio holds no liability for any damage or injury caused by the use of rental items to Renter or any third party. The Renter assumes all risk of personal property damage or personal injury. If an accident involving the Studio's rental items has occurred while it is in the Renter's possession, Renter shall make the Studio aware by a written statement of details of the occurrence of the event, including a police report and names and addresses of witnesses, if applicable. The Studio will not be held liable for any injuries or accidents to the Renter, Renter’s employees, Renter’s contractors, Renter's clients, or any and all Renter's visitors that occur within or outside the Studio premises. Renter will be liable for any physical damages, legal actions, and/or loss of reputation or business opportunities that Owner may incur as a consequence of the actions of Renter or any of Renter’s guests while Renter is in control of the Studio, and shall indemnify and hold harmless the Owner against any and all legal actions which may arise from Renter’s use of the venue. The Renter takes responsibility for and is liable for themselves and their guests while on the premises. Archive Studios will not be responsible for any bodily injury, emotional abuse or property damage. Force Majure: Parties agree that these conditions shall be subject to a limited condition of force majeure condition that will include an act of war, act of God, or act of nature that shall actually and significantly prevent staff from fulfilling their duties, but said force majeure condition is not intended to include ordinary events such as inclement weather, ill health of any person, or family disputes that might excuse any person’s participation in the scheduled event. The obligation shall be relieved in the event of riots, strikes, epidemics, and acts of terror, acts of God, or any other legitimate condition beyond Archive Studios’ control. Studio Policies Minimum booking 1 hour Damages and cleaning In the event there is damage to the floor, walls, props or onsite furniture you will be responsible to reimburse the cost to repair damage. If you notice any damage before your photoshoot, please let us know. Please ensure the room is left in its original condition. If the studio is left in a messy condition, a $75 cleaning fee will apply. Deliveries to the studio (i.e. furniture, decor or props) We do not have storage onsite, so any deliveries for your shoot must arrive and be removed during the time of booking. Please check with us in advance if you are bringing any large furniture pieces or props for your shoot.
