The Community Room is a flexible space that can be configured to host different types of events such as receptions, ceremonies, fundraisers, meetings, lectures and more. Available for public and private events. Walls are lined with local artwork that rotates on a monthly basis, allowing for a unique experience every time. This room can accommodate anywhere from 15-100+ people pending the set up of your event. Our facilities are located right across the UC Davis campus. Renting the Community Room gives you free access to the usage of our on-site Kitchen, allowing you to set up for your event with ample fridge space and tableware. ADA accessible gender-neutral bathrooms are located downstairs via elevator. *Note that using the Kitchen for on-site cooking will require a reservation on an hourly basis Community Room Rates Monday-Friday Before 5PM $55 Monday-Thursday After 5PM $58 Friday After 5PM and All-Day Saturday $105 Sunday All-Day $80 Services and amenities that we offer include: - Set-Up Service (chairs and tables before the start of your reservation time) $33 Hourly Rate (1 Hour Minimum) - Take-Down Service (chairs and tables before the start of your reservation time) $33 Hourly Rate (1 Hour Minimum) - AV Equipment Systems: Projector and Screen or Sound (Speakers and Mic). $33 Flat Rate for 1 AV System & $44 for both AV Systems. $10 Laptop Rental. - Tablecloths: $6 per Linen (Availability pending how many tables utilizing for event) Free Amenities Coffee & Tea Tables & Chairs Kitchen & Pantry: fridge space (no freezer), table & diningware
SETTING UP FOR YOUR EVENT - The Start Time and End Time are your group’s arrival and departure time. Access will not be granted prior to the start time of your reservation. Catering & event companies will not be allowed in prior to the start of the rental. - If Set-up Services are requested, tables and chairs for the event will be set up prior to your start time. - Set up is billed hourly with a 1 hour minimum. Large or elaborate set ups may require more than 1 hour of time. - If Set-up Services are not requested, set up may take place after the start time of your reservation. Early access for set up will not be granted. Decorations: - Art displayed may not be moved, covered up, taken down, or altered in anyway. Art shows change monthly and the art to be displayed may not be known at the time of reservation. Decorations may not be allowed to touch any works of art. - Ask staff for permission before hanging or affixing any decorations. Only blue painters tape may be used to affix decorations to any painted surface. Gaffers tape may be used to tape things on the floor only. Velcro may be used to attach items to Community Room carpeted walls. Fishing line or hooks can be used to hang very light paper decorations. - No duct tape, nails, screws, tacks, staples, or sticky putty, etc. are allowed on any walls, windows, or ceiling. - Decorations may not be attached to any safety/fire equipment or signs. - Dance wax, cornstarch, birdseed, confetti, glitter, rice, straw, sand, bubbles, fog, smoke, and similar materials are not allowed; clean up and damage fees will be charged if used. - All decorations and their remnants must be removed prior to leaving the facility. - A limited number of items may be stored at the facility prior to your event at the discretion of staff. - The safety and wellbeing of these items is not guaranteed. We are not responsible for any damage, loss, or theft of such items. - Facility equipment (including the podium) may not be removed or altered under any circumstances. Food/Catering: - Renters may use a caterer of their choice. - Cooking onsite is only allowed in the kitchen or on outdoor patios, one or both of these facilities must be rented. Events with alcohol present/served: - Renters must comply with all state and local laws regarding alcohol use, serving, licensing, or permitting. - Beer and wine only, no hard liquor allowed on the premises. - Events by student organizations, sororities, fraternities, for-profit businesses, or similar organizations, as determined by staff, which are open to the public and/or include monetary transactions, must hire a caterer with a type 58 license from Alcoholic Beverage Control. Evidence of Liquor Liability Insurance naming the organization as an additionally insured must be given to staff at least 1 week before the event. Registered non-profit organizations must also acquire a liquor license for these types of events. - For private, hosted events, staff will determine what type of permitting or insurance coverage is required. - Events with alcohol present must also serve food. Snacks, in a reasonable quantity for the number of guests, are sufficient. - Failure to follow these rules will prevent you from having alcohol and may result in the immediate cancellation of your event. ON THE DAY OF THE EVENT - A staff person will grant access to the building at the indicated Start Time on your reservation and will remain present on-site during your event. All questions about facility use must be directed to the on-site staff person. Directions given by the staff person must be followed unless their directions would result in an unlawful or dangerous situation. - Guests are only allowed in the rooms reserved and specified in this contract. No renters or guests are allowed in the upstairs office areas of the building. This includes the room at the top of the elevator. Renters must use the entrance attached directly to their reserved rooms/areas. - Renters and their guests may only use the equipment specified for the reservation. - The renting party will bring their own consumable supplies (tableware, cups, towels, etc.), follow instructions for using the appliances, and return all equipment cleaned and to its original location. - Kitchen use is restricted to use of the fridge unless kitchen is rented. - Children must be supervised at all times by the adults of the group. Failure to supervise children may result in the cancellation of your event. - The fireplace is not to be used. - Smoking anywhere in the building is forbidden. - At no time shall fire exits or safety equipment be covered or obstructed in any way. - Staff may photograph or video all attendees, including minor children, and may use such photographs or videos to promote programs and classes. All photographs and videos are property of the organization. ADDITIONAL HOUSE RULES - Located on a residential street in an historic Davis home, parties renting must agree to respect the facility and our relationships with our neighbors. - All individuals and organizations are strongly encouraged to purchase liability insurance and name organization as an additional insured. - The renter is responsible for all fees, penalties, and judgements arising from their event, activities at their event, or the actions of their guests.
