I. General Terms & Conditions: You must be over the age of 21 to book your event at our space. You will be required to provide a valid ID. The time slots reserved include set up and clean up time. Outside deliveries (all vendors included) must be done within the rental time frame. The Renter is responsible for cleaning and returning the rented space to its original condition. A $200 cleaning fee may be added to the booking depending on the nature of the event. a. Security Deposit We reserve the right to require a $300 Security Deposit depending on the nature of the event. Indoor smoking is an automatic loss of the full security deposit. b. Insurance Renter may be required to provide evidence of insurance naming our company as ‘Additional Insured’. The Renter may be required to have general liability insurance limits of at least $2,000,000 General Aggregate and $1,000,000 per occurrence as well as a minimum of $300,000 Damage to Rented Premises. If the organizers are serving alcohol, they either need to show their general liability policy includes host liquor liability or, if they are using a caterer, the caterer needs to show evidence of liquor liability. And, if they are using a caterer, the caterer needs to provide a certificate of insurance naming our company as an additional insured. c. Permits Renter is solely responsible for securing and paying for any permits that may be required in connection with the event and will provide proof of such permits to us prior to the event. If onsite personnel are required for the event, Renter is responsible for and will absorb all related costs. Publicity/Media/Photography. We reserve the right to review and approve, in advance, all proposed plans for events, including but not limited to, choice of rental company, caterer and valet parking service, as well as proposed construction plans, space configuration, circulation plan, seating arrangements, lighting, décor, entertainment, and all set-up delivery schedules. We also reserves the right to review and approve, in advance, event invitations, posters, flyers, signs, or other publicity pertaining to the event, including press releases. Photography/filming permission is determined on a case-by-case basis. d. Facility The rental fee covers the rental for the venue only. Renter is responsible for all other services and needs. Renter is responsible for providing us with a list of all vendors and their respective contact information within 20 days of the event date. e. Security We may require security on-site during events (including prep and wrap). Renter shall be responsible for all security costs. f. Parking We do have a lot available for some events. Inquire prior to booking if needed. g. Rentals Renters must provide any equipment they or their vendors require. Delivery and pick-up of all equipment must be coordinated with one of our representatives. Our representative must approve all delivery schedules involving elaborate rentals. In compliance with fire regulations, aisles and doors must not be obstructed. All applicable building capacity requirements, fire codes, and regulations regarding exits and entrances must be followed. All rentals and equipment must be removed promptly after the event. We are not responsible for any equipment, material, or property left on the premises by Renter, its vendors, or guests. h. Deliveries We will not under any circumstances accept COD deliveries on the Renter’s behalf. Our personnel will accept certain small deliveries on the Renter’s behalf with prior arrangement. Our staff will not assist in loading, unloading, or carrying equipment to usage area. The Renter and Renter’s vendors will need to provide their own dollies or carts. i. Catering Caterer must provide required & appropriate permits in connection with events. Renter will be responsible for ensuring that the caterer cleans up thoroughly. This includes removing all catering equipment, all supplies and all garbage from premises, moping/cleaning any messes in food prep/cooking area, and not leaving any dirty dishes or any trash behind. Caterers may not cook with open flame inside building. Trash cans and liners within the venue are the responsibility of the Renter. Renter/caterer is responsible for emptying trash from cans and replacing liners throughout the event, and ensuring trash areas are clean at end of event. j. Alcoholic Beverages The Renter is solely responsible for complying with all city, county, and state laws, rules, ordinances, and regulations concerning the service and consumption of alcoholic beverages. If Renter intends to sell liquor, the appropriate liquor license must be obtained and provided to us no less than thirty (30) days prior to event. k. Power/Electricity All energy and power needs must be reviewed with us prior to event. We recommend at least 3 weeks prior to event to avoid last minute emergencies. Electrical equipment may only be serviced by electrical lines designated by us as having sufficient capacity. Any electronics equipment, such as microphones, speakers, amplifiers, projectors, extension cords, generators, etc. must be located in areas designated by us. Décor/Modifications/Repairs. Signs or other “markers” are not permitted outside the facility unless approved in advance. No structural or permanent modifications of property will be permitted. Nails, staples, and tape may not be used without prior approval. Renter shall be responsible for costs for repair of structure, walls, etc. l. Other Guidelines • Smoking and/or vaping is prohibited inside the facility. • Unless otherwise agreed to in writing, all loud music and/or noise must cease at 11:00pm to comply with sound ordinances. • The consumption of alcohol by minors is strictly prohibited. • No candles or any open flame allowed. • Renter is responsible for all guests attending the event. Any damage or loss resulting from the event guests will be billed to the Renter. • Any intoxicated guests are the responsibility of the Renter. • We reserve the right to request any person or group of people acting unruly or contrary to rental regulations to leave the premises. Assistance from law enforcement agencies may be required if this request is not met immediately. • For building security, no internal or external doors may be propped open without authorization from us. • Windows may not be opened without authorization from us.
Guests may cancel their Booking until 7 days before the event start time and will receive a full refund (including all Fees) of their Booking Price. Guests may cancel their Booking between 7 days and 24 hours before the event start time and receive a 50% refund (excluding Fees) of their Booking Price. Booking cancellations submitted less than 24 hours before the Event start time are not refundable. Learn more
