Meeting and Training Rooms must be reserved and utilized exclusively by our employees.
Member is responsible for his employee’s knowledge and understanding of our Guidelines.
Meeting and Training Rooms must be previously reserved. This includes reservations for after hours and weekends. A reservation must be made in advance for a Meeting Room. Members are prohibited from entering and using a Meeting Room without prior confirmation from the Receptionist that the Room is available.
The room occupancy cannot exceed the maximum number designated for the room (the number of chairs around the table). No other chairs are to be moved into the Meeting Room. If the maximum occupancy level is exceeded, Business E Suites, LLC will bill the Member at the discounted Member rate for a Training Room. The occupancy levels are determined solely by Business E Suites, LLC, using fire code requirements and noise considerations.
A Member can have access to one (1) Meeting Room at a time. If multiple Meeting Rooms within the place, portfolio are required at a specific time, the other(s) will be billed at an hourly rate.
All Training Room and Off-Site reservations are required to complete the necessary Reservation Form provided by your Community Manager. Meeting Rooms are reserved and billed in thirty (30) minute increments only.
The Meeting Room must be in use within thirty (30) minutes of the original booking time or the reservation will be canceled and billed to Member in full. The Meeting Room will be released and made available for general use.
Cancellation of a Meeting Room reservation must be made two (2) business days in advance or total charges apply. Cancellation of a Training Room must be made five (5) business days in advance to receive a 50% refund. The total charge of a Training Room reservation will apply if a cancelation notice is given in less than five (5) business days.
Member shall not allow its invitees or guest to remain or loiter in the reception area for more than ten (10) minutes at a time. Member invitees or guests with children must always have children accompanied and escorted by an adult. The reception area is not intended as a waiting room or lounging place for Members or its employees or invitees.
To be considerate of the other Members in the Center, individuals attending a meeting are to use cell phones in the Meeting Room, in an office, or in the building ground floor lobby. Attendees should refrain from using cell phones or loitering in the hallways, reception areas, kitchens, and other common areas within Business E Suites, LLC.
Meeting Rooms are an amenity available to all Business E Suites, LLC Members. The Member or Member’s employee who reserves the Meeting Room must be present for the duration of the time the room is reserved.

Upon completion of any Meeting Room reservation, Member must return the Meeting Room to its original condition or charges may apply. Member is responsible for reimbursing Business E Suites, LLC for any damages to the Business Center that are caused by the Member or any of the Member’s attendees in the Meeting Room, Training Room, Day Office or any common area.
Member agrees to indemnify, defend, and hold Business E Suites, LLC harmless from any claims, costs, expenses, liabilities, or damages Business E Suites, LLC incurs arising out of Members use of the Business Center and/or Meeting Rooms.

HOUSE RULES
Welcome! We are thrilled that you have joined our workplace community! our place is where the inspired and passionate come to do their work. We bring together a diverse group of Professional members that create a community for you to bounce ideas off of and Network with.
We are a community. We respect each other and look out for each other. Just as importantly – we respect and take care of our space. As a member of Business E Suites, we (and your fellow members) encourage and expect you to take pride and ownership in your community.
Here’s how:
1. One of the biggest benefits of the place is membership is access to your fellow members. We encourage our members to make connections, collaborate, share ideas, provide advice, and make cool things happen. However, members may NOT spend their days directly soliciting other members. It is annoying and may result in the cancellation of your membership.
2. Our space is first and foremost, a place to work. While we want our community to be 1.) open, fun, and collaborative we also want it to be 2.) Professional. Members are responsible for properly balancing the two.
6. We expect members to keep the kitchen area clean. Please do your dishes by either putting them in the dishwasher or hand washing them and putting them away. Please do your guests’ dishes. The friendly staff at Business E Suites (and your fellow members) will get really, really grumpy if you leave your dirty dishes lying around.
7. It is your responsibility to keep your workspace tidy. If you receive packages at Business E Suites please break down your boxes and take them to the dumpster. If your trash is overflowing empty your garbage can and take it to the dumpster at night when you leave. Business E Suites dumpsters are located in the rear of the building.
8. Only our staff is allowed to move Furniture. If you need something, please see an Business E Suites staff member.
9. Please label and date the food you put in the refrigerator. We encourage you to bring your lunch and use the Fridge. Please be considerate of your fellow members. It is a community fridge and their needs to be room for everyone’s lunches. You can’t stock the fridge for the month. (ie: no cases of soda, Gallons of OJ etc.) The staff reserves the right to throw anything in the refrigerator away, including breakthrough science experiments! Refrigerator clean out happens Thursdays at 3:00. If it is not labeled “save” it most likely will be tossed.
10. Coffee makes everyone happier- we provide unlimited Coffee. If you drink the last cup of coffee, please let a Team Member know. The best way to strike a nerve with your fellow caffeine-addicted member is to leave no coffee in the Carafe. Please don’t be that guy/gal.
11. Access to Meeting/Conference rooms is one of the greatest perks of a member. Here’s what you need to know in regard to meeting rooms credits:
If you want to use a meeting room, you must reserve it. Please, no meeting room squatting.
Dedicated/Shared desks receive 5 hours of small meeting room credits per month. Unlimited Co-Working receives 2 hours of small meeting room credits per month. Private offices receive 10 hours of small meeting room credits per month. Anything you use after that will be billed to you at the member discounted rate (25% off non-member rates.)
Conference rooms are for meetings with customers, teammates, and Members ONLY. If you want to hold an event at Business E Suites in one of our conference rooms, please talk to the friendly Business E Suites staff to discuss scheduling, guest policy, insurance requirements, and fees.
Unused conference room credits do not roll over from month to month. If extra credits are PURCHASED, then those credits will not expire, but rollover until used.
You may not re-sell or donate your conference room time to non-members or outside groups.
It is your responsibility to clean up the conference room after you use it. If you re-arrange the furniture in the conference room we expect that you will return it to the original set up when you’re finished. If you use the white boards –please clean them off when you are finished.
13. Common areas are shared workspaces. Here is how we can all happily and productively share these spaces together:
Please make phone calls at your desk, balcony, or huddle room, if one is available.
Please occupy only one spot at a time in the common area. Taking up multiple spots limits the space available to your fellow members.
“The One Hour Rule”: Feel free to leave your stuff in your space and other common areas. However, if you will be gone longer than an hour, please pack up your stuff so your spot is available for another member.
16. Our place is a smoke-free facility. Please smoke outside 20 feet away from windows and doors. Definitely not the balcony either.
17. Finally, we have a great staff at our place. Our job is to manage this fantastic, inspiring community. We are here to provide you with a place and the tools to do your best work! If you have any questions, ideas, or suggestions. Need help connecting or just want to chat that is what we are here for. Interacting with our members is the best part of our job.
