BUILDING USE
Renter, or individual signing the rental agreement, assumes full responsibility for the conduct of guests, employees, third parties hired to provide services, or any other individual at the event.
Renter may not assign your use to any other person or organization.
Building capacity is 150 (lower floor capacity is 75). These occupancy limits must be strictly adhered to.
Clubhouse is rented for indoor use only. Number of guests must be limited to indoor capacity.
Fireplaces are not to be used by renters. Contact the host in advance of your rental if you’re interested in having the fireplace(s) turned on for your event.
All events must end by the time stated on the agreement. Any additional hours must be approved by manager.
The building and outside grounds must be left in the same condition as when you took possession.
In the case of snow and ice on the exterior ramp and/or stairs to the Upper Hall, renters should only use the Lower Hall door/entry.
SHCC is a non-smoking facility; smoking is permitted only in designated areas outside on ground level.
All noise, amplified voices and music (live, D.J., taped or any other kind) must be kept to a low volume and must end by 10:00 pm Friday & Saturday and 9:00 pm Sunday - Thursday. The City of Seattle legal limit for a residential zone is 55 decibels outside the building. If music or other noise is determined by event monitor to be too loud, you will be asked to correct the problem. If this request is not complied with courteously and cooperatively, the event will be closed down and damage deposit forfeited.
In the event it becomes necessary to call the police the event will end when the police arrive.
ELEVATOR
An elevator is available for use by those with mobility restrictions only and use instructions on door must be complied with. Children are not allowed to play in elevator and must be accompanied by an adult when using the elevator.
ALCOHOLIC BEVERAGES
If alcoholic beverages are served, renter must obtain a Banquet Permit from any Washington State liquor store and event liability insurance no later than 5 business days prior to event
Banquet permit and copy of event liability insurance must be submitted to rentals manager no later than 5 business days prior to the event.
Event Liability Insurance Policy/Rider issued by the renter’s homeowner’s or renter’s insurance company or by https://www.theeventhelper.com/. Renter must provide proof of either Social Host Liquor Liability or Special Event Liability Insurance:
Sunset Hill Community Association & Phinney Neighborhood Association must be named as insured entities;
Policy must cover $1,000,000 per occurrence and $1,000,000 total general aggregate.
Consumption of alcohol by minors is prohibited by Washington State law and must be strictly enforced, or the event will be closed down.
No alcohol may be taken outside the building.
If serving beer from a keg (lower hall only), precautions must be taken to keep beer and condensation off the floor.
Legal responsibility for guest’s consumption of alcohol rests with the individual purchasing the Banquet Permit and the renter whose signature is shown on the Clubhouse rental agreement.
SET UP & DECORATIONS
Emergency Exits may not be blocked with tables, chairs, etc.
The following are not allowed inside or outside the building: Candles, open flames, confetti, glitter, flower petals, potpourri, birdseed, rice, sparklers and “silly string”. (Birthday cake candles on a cake may be used if lit briefly, and then blown out.)
All decorations must be freestanding and approved by manager. Nothing may be attached to walls, windows, window shades, ceiling, light fixtures or ceiling fans. You may not use any kind of tape (scotch, masking, duct, etc.) staples, tacks, nails, screws on any surface belonging to SHCA (this includes tables, chairs, mantles, etc.)
Gaff tape may be used (on floors only) to secure sound equipment.
Lights may be put up on places provided and must have manager’s approval.
People may not stand on tables or chairs.
Ice chests, beer kegs and other wet containers are not permitted directly on the floor
Potted plants must have protective trays under them to prevent water leakage.
Use of resins, powder, dust or other substances on the floors or shoes is specifically not allowed.
Smoke/ fog machines are not permitted.
Helium balloons must be removed from the ceiling (20 ft.) at the end of the event.
Any item with a sharp undersurface must be set up with padding between it and the floor.
KITCHEN / CLEAN-UP
Grease cooking (deep frying) or open flame cooking is not allowed.
All food/beverage spills must be immediately cleaned up.
If food is to be served, the use of tablecloths is recommended.
All garbage bags must be put in dumpster or taken off premises. Please help us reduce
garbage by using non-disposable items where possible and using bins provided for recyclable materials. Bags containing recyclables mixed with garbage must be taken off premises.
SHCA dumpster may not be used to dispose of non-disposable items (cloth tablecloths, fabric, dishes, glassware, lights, household goods, etc.) that you do not want after your event.
CATERERS
1) If hiring an outside caterer, please inform them that we do not have a commercial kitchen.
2) Please inform caterers that grease cooking (deep frying) and open flame cooking are not allowed.
D.J.’s
If hiring a professional D.J. or having someone other than yourself control the music, please inform them:
1) Only “gaff tape” may be used on floor/stage floor to secure sound equipment. This may be used only on floor and not on walls, etc. No duct tape!
2) There are noise restrictions and that very large speakers may be too loud for this size room/location. See #9 under Building Use
3) If manager asks them to turn the volume down, they must comply or music will be turned off.
4) Music must be off at 10:00 pm Friday/Saturday and 9:00 pm Sunday – Thursday.
OTHER
No pets allowed inside the building
Doors must be closed anytime there is music or microphone amplification of voices.
Windows may be open for ventilation.
Side emergency exit door must be kept closed at all times, unless needed for emergency exit.
Children must be supervised by an adult at all times inside and outside the building.
Clubhouse must be cleaned and locked by 11:00 pm Friday/Saturday and 10:00 pm Thursday – Sunday.
