Security Deposit
In addition to the Rental Fee (which includes the non-refundable deposit), renter must pay a refundable Security Deposit of half the time rental for events without the presence of alcohol, or $450 for events with the presence of alcohol. The Security Deposit will be refunded within 7 days after the conclusion of the event, unless The Space is not left in the same or similar condition in which it was found or the renter was found to be in violation of any of the following clauses. In the event that repair and/or excessive cleaning are needed, the Security Deposit will be applied to those costs, and Renter will be responsible for any deficiencies. We will send you a separate invoice for the deposit and it is payable online.
Capacity
Renter understands the maximum occupancy of The Space is 40 people.
Youth Events
Youth functions (under age 21) are required to have one adult chaperone (over age 21) per 10 minors.
Right of Entry
The Host shall have the right to enter The Space at any time for any reasonable purpose including but not limited to any emergency that may threaten damage to The Space or injury to guests, vendors, contractors, or employees.
Alcohol
Renter is allowed to serve guests alcohol if each of the following criteria are met:
- A licensed bartender is pouring/serving. A copy of the bartender’s Mast 12 license must be presented to the venue at least 14 days prior to the event. If a licensed bartender is not hired, the client must sign a waiver of liability releasing The Space and Grit City Weddings + Events from any illness, injury, or death as a result of allowing alcohol to be consumed at this event.
- A banquet permit has been procured (https://lcb.wa.gov/licensing/order-banquet-permits-online) and a copy given to the venue at least 14 days prior to the event.
-If client chooses not to hire a licensed bartender, client must ensure alcohol is monitored at all times. If anyone under age is found to be consuming alcohol, the event will be immediately terminated and the security deposited will be forfeited, no exception. We also reserve the right to call law enforcement if violations continue to occur.
- Open alcoholic beverages are strictly prohibited outside of the building. Client must contain consumption of alcoholic beverages to the indoor event space. Violation of this may result in forfeiture of the Security Deposit.
Catering + Food
Catering can either be supplied by a licensed and insured caterer or brought in by client. If client is bringing in their own food, we will require a signed document releasing The Space and Grit City Weddings + Events from any illness, injury, or death as a result of the food being consumed on our property. At no time are any dishes to be washed at The Space. You must take all dirty dishes off premises to wash.
Decor + Use Restrictions
Grit City Weddings + Events wants to make every event in The Space a special and welcoming experience. Therefore every effort will be made to allow renter to prepare decorations reflecting their creative requirements. We ask that only the staff of The Space assist with rearranging and move any furnishings, including artwork, lighting, antiques or seating.
- No nails, screws, staples or penetrating items should be used on our walls, brick or fine wood. Any tape or gummed backing materials must be properly removed and in an extreme case of any wall damage, we will take a portion of your security deposit as determined by the extent of the damage.
- At no time is renter allowed on a ladder. The Space staff must complete all decorating work requiring a ladder. If you need ladder work, you must notify The Space staff via email 30 days before your event so the right staff member is made available. There will be an additional charge for use of our ladder and help in having decorations hung.
- The use of raw rice, confetti, glitter, smoke, sparklers and bubble machines is prohibited. Use of such materials will result in a deduction from the security deposit.
- The event space is a historic building and thus no open flames are allowed within The Space. We encourage battery-operated candles.
- All items brought into The Space (e.g., personal items, decorations, props, etc.) must be removed immediately following the event. Items that are not removed will be disposed of and the cost of such disposal will be deducted from the security deposit. If arrangements need to be made for a next-day pickup, that must be coordinated in advance.
Rental Period + Event Hours
The Space hosted by Grit City Weddings + Events is generally available for rent from 9:00 AM - 11:00 PM. For rental times outside of this timeframe, additional fees may occur. The minimum amount of rental time is 3 hours. All set up, activities, and clean up must be completed within the rental period. Any additional time spent within The Space that wasn't previously negotiated will be charged at 1.5x the rental rate in full-hour increments. The fee will be deducted from the Security Deposit. For instance, if the rental rate is $125/hour and the renter stays past the rental period, the renter will be charged $187.50 for each hour in which the renter is in The Space.
Smoke-Free Facility
The Space is a smoke-free facility. There is no open flame or frying allowed on site or any cooking that will create a large amount of smoke, as our facility is not ventilated. No smoking in any restroom. If smoking materials are discarded in planters, sidewalks or grounds, an extra cleanup charge will be deducted from the security deposit. Any guests violating the smoking restrictions will be asked to leave the premises by the event staff. We reserve the right to terminate the event if continued violations happen and the security deposit will be forfeited.
Lost and Found
Grit City Weddings + Events takes no responsibility for personal effects and possession left on premises during or after any event. We do, however, maintain a lost and found and will hold recovered items up to 30 days. Every attempt will be made to return any recovered item to its rightful owner.
Promotions and Copyright
It is important to us that you have a fantastic and successful event. Should Grit City Weddings + Events be engaged in the promotion or co-production of your event, it is imperative that we see and approve all marketing messages and communications 30 days prior to the event. We are happy to provide professional created images and logos of Grit City Weddings + Events for promotional needs. We also reserve the right to take pictures of your event and use them for our marketing and promotional purposes. Please tag @gritcityevents and @thespacetacoma in all social media communications.
Catering, Cleaning, Trash and Equipment Removal
The Space will be in a clean condition prior to your event. Upon additional planning with The Space, you will need to incorporate your set-up time and clean up time into the rental agreement and you are required to return the space to the same clean condition in which it was found, unless additional payment for clean-up was made. Otherwise, all trash must be collected, properly bagged and removed by the renter or the caterer to the provided outdoor cans and the furniture must be rearranged as it was originally staged. If a client generates more trash than can be accommodated in our trash cans, the client is responsible for removing the trash from the premises. If trash is not removed and disposed of in proper containers or is left overflowing, we reserve the right to deduct a cleaning and disposal fee of up to $125 from the deposit.
All rental equipment must be removed immediately after the event unless approved otherwise by The Space. We can make provisions for equipment pickup the next business day if The Space will remain unused until then.
Provided Documentation
All documentation created and provided to the Client is owned and copyrighted by the Host and cannot be used or given to any other 3rd party.
Cancellation Policy
The spirit of our cancellation policy is to protect both Grit City Weddings + Events’ investment while protecting your resources as well. While the deposit is non-refundable, if your event is cancelled, we will happily apply the deposit to a future event within 12 months of the original event date (see Postponement Policy below). If any amount over the deposit has been paid and the event is cancelled, the amount over the deposit will be refunded.
Postponement Policy
If your event is postponed, all services will cease at time of notification of postponement if no determined new date is provided. Payment schedule will be determined and readjusted post new event date notification.
Deposits and payments may be carried forward to future dates but extra fees may occur if the new date is pushed into another calendar year. Extra fees may also occur, at the host’s discretion, if a client previously booked an unpopular date (i.e. Monday thru Thursday) and rebooked on a new date (i.e. a Friday, Saturday, or Sunday).
Responsibility & Contingency Plan
Host is not responsible for Acts Of God, Natural Disasters, an Act Of Government such as A Declaration of National or Local Emergency, or Other Incidents Not within the control of the host, i.e. accident, death in the family, illness, pregnancy, or sudden tragic circumstance. The host will clearly and accurately communicate with the Client any and all changes as early as possible.
City, County, State and Federal Laws
Renter agrees to comply with all applicable city, county, State, and Federal laws and shall conduct no illegal act on the premises. This is a drug free and non-smoking facility at all times, NO EXCEPTIONS. Client shall not sell alcohol on premises at any time. Client may not serve alcohol to minors on the premises at any time. Client agrees, for everyone’s safety, to ensure alcoholic beverages are consumed in a responsible manner. Grit City Weddings + Events reserves the right, in its exclusive discretion, to expel anyone who in its judgment is intoxicated or under the influence of alcohol or drugs, or who shall in any manner do or participate in any act jeopardizing the rights, use permit, or insurability of Grit City Weddings + Events or the safety of its staff, guests, building owners, or building contents.
Attorney
If legal action is necessary to enforce the terms of this contract the prevailing party shall be entitled to reasonable attorney fees in addition to any other remedies to which that party might be legally entitled. Washington State laws will govern any legal proceedings on contract issues.
Mutual Indemnification Clause
Except with respect to claims arising from a party’s separate gross negligence or willful acts, which shall remain that party’s personal obligation, each party agrees to defend, indemnify and hold harmless the other party and its directors, officers, and employees with respect to a claim arising from the party’s actual or alleged act, failure to act, error, or omission in the performance of their obligations under this Agreement or any governing law or regulation.
Appropriate Conduct / Safe Working Environment:
The Client(s) expressly agree(s) to take best efforts to provide Grit City Weddings and Vendor’s staff with safe and appropriate working conditions. In the event of circumstances deemed by either Grit City Weddings or a bystander to present a threat or implied threat of injury or harm to Grit City Weddings staff or equipment, the Grit City Weddings reserves the right to cancel all services remaining under this Agreement and leave the event. At the Grit City Weddings' discretion, the Grit City Weddings may enact a three-strike policy. After the first offense, the Grit City Weddings will make reasonable efforts to notify the Client(s) or a responsible party. If the Client(s) is/are able to respond to the threatening situation in a reasonable amount of time (maximum of 15 minutes), Grit City Weddings shall resume work in accordance with the original terms of this Agreement. If the threatening behavior occurs for a second time, the Client(s) will agree to remove the offending person for the remainder of the event. If the behavior occurs a third time, the Grit City Weddings will immediately leave the event. If the Grit City Weddings leaves the event early due to any offending behavior, the Client(s) expressly agree to relieve and hold Grit City Weddings harmless as a result of incomplete event coverage, or for a lapse in the quality of Grit City Weddings' work, and the Client(s) shall be responsible for payment in full.
