How many hours are included in the rental?
It depends on the package you purchased, but we have a six hour minimum at the venue. Most packages are either 6 or 10 hours, and while we don’t offer rentals by the hour, you can purchase additional hours for your event in some cases.
Are there any restrictions on the time?
End of Night
Our standard venue availability only goes until 2:00 am. An additional hour may be purchased to bring the end of the event time to 3:00 am at the rate of $650 for the hour.
Any events requesting to go past 3:00 am must be approved and negotiated on a case-by-case basis.
End of Event
We require that you reserve the last hour of your event time for any teardown or cleanup activities. This means that if your event time goes until 2:00 am, the latest your guests can be in the space is 1:00 am.
Last Call
We require that last call is no later than half an hour prior to the end of your event time. This means that if your guests are in the space until 1:00 am, your last call may be no later than 12:30 am.
Minimum booking length
We don’t allow rentals shorter than 4 hours in length at CANVAS, and certain types of events will have higher minimums as well.
When can I or my vendors drop off rentals?
Often, drop offs can be facilitated the day before the event, but all drop offs must be coordinated with your CANVAS venue representative. We are not open for business 24/7 and cannot guarantee that there will be someone on site without prior notice and confirmation from venue staff. Additionally, this availability may change based on other event bookings.
Do you provide Tables and Chairs?
For Friday through Sunday rentals, tables and chairs are included for up to 80 guests. The chairs provided are light wood folding chairs with an Ivory seat, and the tables are 60” rounds.
Additional tables and chairs can be provided upon request for an additional cost.
Are we required to clean the venue following the event?
We have a cleaning crew come in after your event, but we do require that you bring the venue back to the state you found it, aside from basic janitorial. This includes removing all personal, decorative and rented items unless previously agreed upon prior to the event date.
Can you hold a date for me?
We’d be happy to hold a date for two weeks while we work to schedule a walkthrough of the space and begin the contracting process. If additional inquiries come in for your date beyond your initial two week hold, we will provide a right of refusal on a first come first serve basis. Otherwise, in order to reserve your desired date, you will need to place a deposit of 50% of the estimated venue rental.
What City and State regulations do I have to follow?
The renter is responsible for ensuring that their event is licensed appropriately prior to the event date. This includes paying admission taxes, special occasion licenses, banquet permits, and any other relevant permitting.
Do you require security deposits?
Yes, we require a security deposit for all events. The amount is 15% of your contract value, with a minimum of $750. This is fully refundable pending post-event charges.
We work to return security deposits within 30 days of the event, but promise it within 45 business days post-event.
Where can we smoke?
You may smoke in the parking lot, 25 feet from any entrances per health department regulations. CANVAS is a non-smoking facility. Renter is responsible for providing signage, and materials for disposal of any trash generated by smoking.
What are your operating hours?
CANVAS has no set operating hours in order to be flexible and transformable for your event.
How do we schedule tours or other access to the venue?
All tours and venue access must be scheduled through our venue management team.
Décor and Modifications
Can I attach to the walls?
In general, high-quality painters or masking tapes are okay to attach to walls, but no heavier tapes, nails or command hooks may be used.
For specific events, we may approve alternative plans, but any hanging on the walls without prior approval may result in fees.
Can I have balloons?
You’re welcome to have balloons, but helium balloons not adequately tied down and which escape into the venue may cause additional cleaning fees for retrieval.
Can I have confetti or rice?
We allow confetti larger than 1 inch in all dimensions, as well as streamers and rose petals. All celebratory materials must be cleaned up by the end of your event, and we can provide brooms and dustpans to help. If these materials aren’t removed, additional cleaning fees may apply.
Rice, bread crumbs, small confetti, glitter, hay, and other difficult to clean celebratory materials are not allowed.
Does the art stay up during the event?
Yes, all of our pieces are part of a permanent collection, and may not be removed during events.
Can I have candles?
You may have open flames in two specific situations: First, in use in warming pans under direct supervision of your catering staff. Second, votive and tea light candles may be used inside of vases or non-flammable holders more than 2x as tall as the candle + flame, and may only be used in spaces where they are never left unattended.
Can I use your soft seating in my floor plan?
The furniture in the lobby may be used anywhere on the main floor as part of your floor plan. The furniture in our green room upstairs may not be moved.
Do you provide ladders?
No, for safety reasons we cannot provide ladders for your use. Our team may be available to assist you, depending on the need.
Food And Beverage
Can I choose any caterer?
We have a list you may choose from, and other caterers may be approved on a case-by-case basis. Additional fees may apply.
Do you have a food or beverage minimum spend?
No, CANVAS doesn’t have any F&B minimums.
Can we bring our own alcohol?
Yes on an approved basis only, but all pouring must still be done by a licensed and approved bartender. Additional fees may apply. Please speak to your CANVAS venue representative.
Do you provide linens?
We do not include linen rental in any of our base rental packages, but are happy to help manage your linen rental for you at a per/linen rate
Do you provide plates/forks/glassware/etc.?
No, we do not provide these items. We recommend that you rent them through your caterer, or if needed we can help manage a rental though additional fees will apply for that service.
Can I bring my own food?
This question is more complex than it seems and is best handled on a case by case basis with your CANVAS representative.
What do I do with my garbage?
You have two options: first, you can pay for an additional pickup of our dumpsters and recycling bins. Alternately, your caterer can take the trash off-site with them to dispose of at the end of the night. Either way, all trash and recycling generated by the event must be removed from the venue at the end of the event time.
