Setup and Breakdown: All set up and breakdown as well as vendor drop-off and pickups, must happen during the contracted event time. If additional time is needed outside the contracted time, it must be approved in advance by a manager based on the venue calendar and staffing availability. If approved, additional fees may apply. Planners & Vendors - Please do not request additional time from us unless you have first discussed it with your client and let them know that additional fees may apply.
Decor: All decorations, furniture, food, and other items must be removed from the venue by the end of the contracted time. It is the responsibility of the planner and the client to return the venue to the condition it was received, minus general soiling. This includes outside areas such as the patio and the parking lot. Items left behind are not the responsibility of the venue. We will make a good faith effort to contact the client or vendor if items are left behind, but cannot store items for an extended time. Items may be disposed of if not picked up in 24-48 hours.
Decorations may be hung from the ceiling beams - but not pipes or lighting fixtures. We can provide a 12’ ladder if needed. Decals may be attached to the floor. Items may be hung from the walls using Command Strips so as not to damage the walls. A patch and paint fee will be assessed for any wall damage. No items can be attached to the wood wall in Studio A and no setup can happen in the curved part of the Cyc wall in Studio A. No open burning candles are permitted, candles must be enclosed
Vendor Load-in/Parking: Vendors may briefly load and unload only in the front row of parking spaces adjacent to the building. No vendor parking is permitted in the front of the parking lot. Once unloaded, vendors must move all vehicles to the back row of the parking lot to allow guests and clients to have more convenient parking spaces.
Parking lot Setup: Any client or vendor set up in the parking lot must be approved in advance by management so proper logistical measures can be made by the venue and venue staff. Venue management reserves the right to decline setup in the parking lot if it has not been approved in advance. Additional charges or parking fees may apply for parking lot setup. The parking lot is to be returned to the condition it was received. Excessive trash left behind by clients, guests or vendors will incur a cleaning fee.
Vacating the Venue/Overtime/Parking lot: Guests should exit the venue when the Party Time listed in this document has concluded. The Client has the option to extend the Party Time for an additional venue fee of $200 an hour. Breakdown time cannot be used as Party Time. If the Party Time extends more than 15 minutes into the breakdown time, an additional hour of venue time will automatically be added to the final invoice. Additionally, guests who exit the venue must also exit the venue parking lot in a timely manner. No hanging out or loitering in the parking lot is allowed. Security services are contracted to stay until all guests safely depart the parking lot. If guests remain for more than 30 minutes, additional security charges will apply.
Catering/Use of Kitchen: All food and beverage vendors are required to return the kitchen area to the condition it was received. Counters, gas grill, oven, microwave, and refrigerator should all be wiped down at the conclusion of the event. Items left behind in the refrigerator will be disposed of. No fryers are permitted inside the venue but can be used outside on the patio or in the parking lot. Fryer grease cannot be disposed of on-site and must be removed from the property at the conclusion of the event. Absolutely no greasy items or food items can be poured down the sink. Clogs to sinks that require plumbing service will be billed additionally.
Bar/Service of Alcohol: All parties wishing to serve alcohol are required to one of the following vendors: Rellies Hospitality, Treehouse Tap, or Affairs to Remember. Use of an outside bar is permitted, but must be approved by Studio Management in advance and will incur a $400 outside bar fee. Outside bar services must show proof of liquor liability insurance and bar certification of staff.
Security: Per state & city liquor laws, any event serving alcohol may be required to add security. If we determine that an event must have security, we have a licensed and bonded in-house security team that can be arranged for $35/hour. Outside security services are permitted but must work with a minimum of one member of our in-house security team and must provide proof of license and bonding.
Celebrities: Please make us aware if there will be a celebrity guest of honor or celebrity guests in attendance, as this may require additional security measures and logistical planning to ensure a smooth and safe event.
Treehouse Staff: A Treehouse staff member will be on-site for the duration of the event to help the event run smoothly. The staff is available to assist with all matters regarding the venue and to help coordinate vendor and guest arrivals. Additionally, Treehouse staff assist with managing the gate, emptying the garbage, keeping bathrooms tidy and stocked, assisting with minor spills, etc. Our staff is here to assist with the overall venue needs, it is NOT the responsibility of our staff to clean up after guests or to break down an event. Please have a breakdown plan in place.
