Covid-19 Capacity Guidelines
Based on Washington, DC’s COVID-19 reopening phase guidelines in place at the time of this agreement, capacity may include staff. All capacities are estimates, which may change. Depending on the type of gathering and activity normal estimate for standing room is : up to 110; seated 62. Covid-19 estimates are 27 and 15 respectively. Venue staff and Renter, including guests are required to wear face coverings when entering the venue. Face coverings can be removed while actively eating or drinking. Renter, including guests must wear face coverings when approaching Creative Grounds DC staff. Renter is also encouraged to physically distance.
Fees and Payment
Leave a credit card number on file that can be charged in the event of damages of event space or furniture. Renter will be presented with an itemized invoice for any additional charges pertaining to damages prior to charging the card on file.
Creative Grounds DC accepts payments by money order, AMEX/VISA/MasterCard, cash or wire transfer. Please note that all fees associated with a wire transfer for event rental or refunds of refundable deposits are to be paid by renter. Event Set Up and Cleaning
Creative Grounds DC will provide a staff member to assist with questions during event setup. Creative Grounds DC will furnish a clean and sanitized space for the event and will be responsible for cleaning space afterward.
Specialty cleaning or excessive cleaning outside of the standard Creative Grounds DC cleaning procedures of the facility are to be billed at 100% to the renter. Renter will be presented with an itemized invoice for any additional charges pertaining to damages prior to charging the card on file.
Permission to move furniture is granted based on agreement with the owner. Renter and Venue will agree on placement of existing furniture prior to our event set up. Final arrangement will be agreed to by Venue and Renter in writing. Renter is responsible for rearranging furniture once agreed upon by both parties.
Artwork removal: Creative Grounds DC staff will not remove or obscure any significant element(s) of an exhibition to accommodate events.
At no time will artwork or furniture be moved without prior permission. All installations or shows are to remain intact unless agreed with the owner prior to the event. There can be absolutely nothing hung, nailed, or taped to the walls without the permission of the owner.
Condition of Premises
Renter agrees and acknowledges that the premises are in good repair and well maintained.
Damage to or loss of any artwork, furnishings, equipment and/or rental goods during set-up, the
event, or cleanup, caused by the Renter or its designated representative, is the full responsibility of the renter at 100% of the sale price. Renter will be presented with an invoice for any additional charges prior to charging the card on file.
Renter agrees to be held liable for any damage to the Venue outside of what is considered
“Normal wear and tear”. Any aesthetic, electrical, structural or mechanical damages caused by the
Renter the Renters staff, will be the sole responsibility of the Renter to pay, in full, to the Venue. Damages will be assessed by an independent contractor appointed by the Venue and Renter agrees to pay the amount quoted by the contractor for any repairs.
At the end of the event, renter will be responsible for returning Creative Grounds DC back to its original condition including returning furniture to its’ original location.
Prohibited Items
Not Permitted: Beer kegs, smoking, open flames, cooking onsite, excessive loud music; use of the sidewalk. Amplified instruments must use reasonable volume. Management and/or staff may require musicians/speakers to lower volume of amplification or discontinue source of amplification if requests to lower volume are not complied.
No bird seed/rice/glitter/confetti are allowed at venue. Flower petals may be used at venue.
Parking: Creative Grounds DC does not provide parking. There are several transportation
Options available, including car and bike share, metro rail and bus.
Liability
The renter is wholly and solely responsible for any damages or liability resulting from the
occupation or use of the premises.
It is solely the responsibility of the renter, and in no respect the responsibility of Creative Grounds DC, to check the identification of individuals who will consume alcohol in connection with the renter’s occupation or use of the premises to assure that those individuals are 21 or more years of age.
Event Staffing
The renter or designated representative must be on site throughout the event. The designated renter representative will be identified to the Venue in writing by email 24 hours prior to the event.
Rental from outside vendors: Rental of furniture, food vendors (licensed) and equipment is the responsibility of the renter.
Storage
Removal of rental equipment may be scheduled with Creative Grounds DC staff for the following day by 7am or after 7pm. A fine of $100/day will be charged for delayed pick up.
Items Removal
Renter is responsible for removing all articles brought in during the rental event. All food waste and bottles must be removed from the building after the event. Creative Grounds DC will NOT assume responsibility for items left by guests or the renter. NOTE: A trash and recycle receptacle will be provided to use during the event. At the conclusion of the event trash should be taken to the designated bins on located to the left of the premises.
Impossibility
Should severe weather or uncontrolled events such as a power failure due to fire, casualty, national emergency, or other cause beyond the control of Creative Grounds DC necessitate cancellation of venue rental, an alternate date will be furnished for the same 7me at no additional expense.
Cancellation
In case of cancellation by the Renter any costs for services requested by the Renter , secured or incurred by the Venue, in preparation for the event are the responsibility of the renter. This refers to securing the services of an outside vendor for goods, services and/or supplies.
If venue rental canceled by the renter any and all deposits are non-refundable. Exceptions may be made for the following instances:
Covid-19 related exceptions to cancelation terms & Rebooking:
If a state of emergency is declared by the DC Government that prohibits public gatherings the venue will allow the renter to cancel without penalty and rebook the facility within 1 year. Any deposits and fees paid will apply towards the cost of a future event rental.
Termination
This agreement will immediately terminate upon the death of the Renter, the inability of either party to perform the services because of a sudden and medically-documented physical or mental disability, the liquidation, dissolution or discontinuance of the operation of the Venue by the Host in any manner, or the filing of any petition by the Host or renter under federal or state bankruptcy or insolvency laws.
