Most DC venue rental prices cover the space itself, but not every service or rental needed for the event inside it. The fastest way to compare venues accurately is to separate what is included in the base rate from what will likely become an extra charge.
What is commonly included in a base rental:
- Space access: Use of the venue for a defined number of hours, which may or may not include setup and teardown time.
- Existing furniture and built-ins: Whatever tables, chairs, lounge furniture, or fixed bar features are already part of the venue.
- Utilities and climate control: Standard lighting, power, heating, and air conditioning.
- Restrooms and basic supplies: Restroom access and normal day-of use of the venue’s basic facilities.
What is often charged separately:
- Staffing: Bartenders, security guards, attendants, coat checker, or event support staff.
- Cleaning and trash hauling: Light cleaning may be included, but deep cleaning, excess trash, or specialty disposal often costs more.
- AV and sound support: Speakers may be available, but microphones, projectors, mixers, or on-site tech support are often add-ons.
- Rentals and upgrades: Extra tables, upgraded chairs, linens, glassware, plates, staging, dance floors, and specialty furniture.
- Insurance: Some venues require event insurance, especially for larger groups or higher-risk setups.
- Extra time: Overtime for early access, late teardown, or extended event hours can add up quickly.
To make pricing easier to compare, ask for an all-in estimate based on your actual plan: guest count, event format, food and alcohol setup, music plan, and total access time including cleanup. That is usually the clearest way to evaluate party spaces and avoid surprise costs later.
